Overview:

RDH Environmental Services, L.L.C., a leading environmental services firm, is seeking a detail-oriented and organized Entry-Level Administrative Assistant to support our administrative and operational functions. This role will involve logistics coordination, report generation, field support, internal administrative tasks, and collaboration with external parties. The ideal candidate is a proactive team player eager to learn and contribute to our mission of delivering high-quality environmental services.

Key Responsibilities:

Logistics Support:
• Book hotels and rental vans for field staff.
• Develop site packages, including aerial maps and driving directions.
• Create and manage tasks in our internal workflow management system.

Field Support:
• Prepare bottles for specialized sampling activities.
• Print and organize key documents, such as chain of custody forms, for field operations.

Internal Admin and Reporting:
• Manage company passwords and technology subscriptions.
• Monitor and report on equipment status.
• Review remote monitoring sites to ensure active reporting and respond to alerts.
• Handle vehicle paperwork, including emission testing and registration renewals.
• Maintain compliance with company policies (e.g., heat mitigation ordinance, DOT drug testing).
• Create site information packets with photos and equipment details.
• Store and update critical company legal documents.
• Maintain employee contact lists, track birthdays, and create the annual holiday calendar.
• Manage a master list of business contacts.

Admin with External Parties:
• Coordinate with insurance companies to issue Certificates of Insurance.
• Purchase office and job supplies through Amazon.
• Order traffic management services as needed.
• Schedule UPS and FedEx pickups for shipments.

Qualifications:
• High school diploma or equivalent; associate’s degree or relevant coursework a plus.
• 0–2 years of administrative or office experience (internships or part-time roles count).
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn proprietary software (e.g., workflow management system).
• Strong organizational skills with attention to detail and ability to multitask.
• Excellent communication skills for coordinating with internal teams and external vendors.
• Ability to work independently and as part of a team in a fast-paced environment.
• Familiarity with basic office tasks (e.g., scheduling, filing, data entry).
• Valid driver’s license preferred for occasional local errands.
Work Environment:
• Office-based role with occasional support for field operations (e.g., preparing sampling materials).
• Business hours (Monday–Friday, 8 AM–4 PM) with occasional flexibility for urgent tasks.
